For a Christmas party, send the invitation at least four weeks ahead; six to eight weeks is reasonable when travel or a crowded holiday calendar matters. Include date, start and end time, location, RSVP deadline, who is invited, and any gift-exchange, food, dress, or child-related rule guests need before they answer.
For Christmas greeting cards, take the photo about four to six weeks before Christmas and plan to mail the cards in early December so rush shipping does not control the decision. USPS had not yet published its 2026 Christmas mailing deadlines as of August 20, 2026 , so do not copy 2025 dates into a 2026 article.
This guide closes what gets sent and when. If you want guest counts, food, hosting, photos, mailing, gifts, and the calendar put into the same sane order, the Christmas Builder handles the whole holiday. The 32-page Christmas Short Plan is included.

Separate the invitation decision from the greeting-card decision
These are two different projects.
CHRISTMAS PARTY INVITATION
Needs:
- guest list;
- date and time;
- location;
- RSVP;
- event rules.
CHRISTMAS CARD
Needs:
- recipient list;
- photo or message;
- printed or digital format;
- address and mailing route.
You may do both. Do not combine the deadlines.
A party invitation sent too late can change attendance and food quantity. A greeting card sent late is mostly an inconvenience.
Send Christmas party invitations at least four weeks before the party
Send invitations at least four weeks ahead. Use six to eight weeks when guests will travel or the social calendar is crowded.
That gives a practical route:
| Party situation | Send |
|---|---|
| Casual local gathering | About 4 weeks ahead |
| Formal dinner / large prep | 4–6 weeks ahead |
| Out-of-town guests | 6–8 weeks ahead |
| Office holiday party | About 4–6 weeks ahead |
Use the earliest date that fits your real planning constraints.
If catering, a venue, or another commitment has a final-count deadline, set the RSVP deadline before that cutoff.
Put every attendance-changing rule in the invitation
Holiday invitations should include date, time, location, RSVP details, dress code when relevant, and the event format or instructions guests need.
For The Short Plan, also include anything that changes headcount or spending:
- children invited or adults only;
- plus-ones;
- family or household invitation;
- potluck assignment;
- gift exchange and dollar limit;
- meal vs drinks/dessert;
- start and end time;
- accessibility or parking information when needed.
USE THIS BASIC INVITATION
Please join us for Christmas dinner on [DAY, DATE] from [START] to [END] at [ADDRESS]. We’ll serve [MEAL]. [GIFT-EXCHANGE OR GUEST RULE IF NEEDED.] Please reply to [NAME] by [RSVP DATE] with the names of everyone attending and any food or accessibility needs we should discuss before the party.
Replace the fields. Do not send a decorative invitation with operational blanks.

Choose digital invitations when RSVP tracking is the real job
Digital wins when:
- you need fast replies;
- the guest list changes;
- reminders matter;
- you want to update guests;
- there is no emotional reason to mail a paper invitation.
Digital invitations can use email, text, or a shareable link while keeping RSVP tracking and reminders in one place.
Paying for a premium digital design can be worth it when the design itself matters to you. The RSVP function exists even when the invitation is simple.
SHORT PLAN RULE: Do not pay for decorative features before the invitation has every planning field you need.
Choose a printed invitation only when paper itself earns its place
Printed Christmas-party invitations make more sense for:
- a formal annual party;
- a milestone gathering;
- an event whose invitation is part of the experience;
- recipients who value paper;
- a host who enjoys the mailing ritual.
They make less sense when:
- the date is close;
- the guest list changes often;
- you still need fast RSVP tracking;
- mailing adds work you already resent.
If you want a printed look and digital RSVP, put a QR code or short RSVP URL on the printed card.

Use a photo Christmas card when the photo is the point
A photo card earns the extra project when you genuinely want to send:
- a family portrait;
- a new baby update;
- a wedding-year photo;
- a milestone;
- a yearly visual record.
Take the photo about four to six weeks before Christmas if you plan to use it for cards, and mail in the first part of December.
Do the photo article first. The card should not create a second photo shoot.
Product option: Walmart Photo Christmas cards
Walmart Photo — Christmas & Holiday Cards (affiliate link)
Walmart Photo currently offers photo cards, upload-your-design cards, folded cards, and postcards, with some pickup options. Because the photo service uses a Walmart subdomain, verify that Mavely accepts and tracks this exact URL before publication.
Use boxed cards when you want the greeting without the photo project
Boxed cards are the cleanest route when:
- you want to handwrite a note;
- the photo is not important;
- you need cards for many different relationships;
- you want to buy once and start addressing.
Product option: Hallmark 40-card Christmas assortment at Walmart
Walmart — Hallmark Christmas Boxed Card Assortment, 40 Cards (affiliate link)
The current Walmart listing includes 40 cards and envelopes in two designs.
The right boxed card is the one you will actually send. Foil, texture, and elaborate packaging are optional.
Use a postcard when the message is short and envelope work adds no value
A postcard can remove:
- stuffing;
- envelope sealing;
- an extra piece of paper.
It also gives you less private writing space.
This route fits:
- a photo plus a brief greeting;
- a large list;
- a household that does not write long updates.
Product option: Avery printable postcards at Walmart
Walmart — Avery 4.25" x 5.5" Printable Postcards, 200 count (affiliate link)
The current listing says the cards are inkjet-compatible and meet U.S. postal size requirements for postcards. Postage rules and rates still need to be checked with USPS for the specific finished mailpiece.
For a list of 30 people, a 200-count package may be excessive. This is a better candidate for large families, churches, businesses, or people who will reuse the supply.
Address labels are worth buying when handwriting is the bottleneck
If addressing 50 envelopes is the part that keeps the cards from leaving the house, labels solve a real job.
If you send 12 cards and enjoy handwriting, they do not.
Product option: Avery 300-count address labels at Walmart
Walmart — Avery 1" x 2-5/8" Address Labels, 300 labels (affiliate link)
The current listing describes them as laser/inkjet-compatible and customizable through Avery's design tools.
A mail-merge label sheet can turn an address list into one repeatable process. Keep the source list so next year's work starts from a file instead of a stack of old envelopes.
Pay for addressing or direct mailing when it removes the part you will otherwise postpone
Some card services offer recipient addressing and direct-mail options. Use those only when they save more host time than they cost.
That service is worth comparing when:
- the list is large;
- handwriting is not part of the tradition;
- you already have a clean address file;
- the saved time matters more than the added price.
It is less valuable when:
- you enjoy handwriting;
- the list is small;
- you want to add personal notes;
- your addresses are not organized enough to upload cleanly.
Pay to remove a known bottleneck. Do not pay because premium checkout offers another box.
Do not publish a 2026 USPS mailing cutoff until USPS publishes it
The 2026 holiday mailing deadlines were not yet published when this guide was last updated.
Do not reuse last year’s mailing dates. Check the current year before printing or promising a delivery window. USPS — 2025 Holiday Mailing Deadlines
For a durable article, say:
Mailing deadline: Check the current USPS holiday schedule for this year's recommended send-by dates. The Short Plan will update this section when USPS publishes the 2026 deadlines.
Before the official deadline exists, early December is a sensible card-mailing target. It is a planning target, not a postal guarantee.
Use this format decision
| If the job is... | Best first route |
|---|---|
| Get RSVPs fast | Digital invitation |
| Formal annual party | Printed invitation or premium digital |
| Family photo greeting | Photo card |
| Short annual greeting | Boxed card |
| Large, brief mailing | Postcard |
| Long personal note | Folded/boxed card |
| Large address list | Printed addressing / labels |
| Running late | Digital greeting or New Year card |
Stop when the message and delivery route are closed
For an invitation, you are finished when:
- guest list is closed;
- date, time, and location are correct;
- RSVP deadline is visible;
- every attendance-changing rule is stated;
- the invitation has been sent.
For a greeting card, you are finished when:
- recipient list is closed;
- format is chosen;
- photo or message is final;
- quantity is ordered or boxed cards are in hand;
- address route is ready;
- mailing date is on the calendar.
Do not keep changing fonts after the card is already capable of leaving the house.
The invitation and card route is chosen.
You know which message needs an RSVP, which one is simply a greeting, what format earns its place, and when it needs to leave.
Now responses, headcount, the family photo, mailing, hosting, food, gifts, and the rest of December still have to stay synchronized.
The Christmas Builder does that part for you. Give it your gatherings, people, card route, photo plan, mailing dates, food responsibilities, gifts, and budget. It carries those dates and counts into the rest of Christmas instead of making you update separate lists.
One purchase includes the private Builder, automatic access email and recovery, approximately 180 days of access, and the 32-page PDF.Invitations collect decisions. Cards send greetings. Pay for the feature that helps that job finish.
Invitations collect decisions and cards send greetings, but both affect the calendar. The included 32-page Christmas Short Plan connects them to headcount, photos, mailing, budget, hosting, food, and the rest of December.
You can stop at the level of help you need.
The Builder is not more Christmas ideas. You tell it what your December actually contains. It tells you what needs to happen, when, what can wait, and what you can stop doing.
